Consolidating two sales-engagement systems into one: 22 cadences rebuilt one-to-one

A long-established enterprise software company ran conflicting activity data across its CRM and its sales-engagement tool, so reps trusted neither. LeanScale rebuilt every cadence on the consolidation target, took conversation intelligence to general-availability readiness, and made transcripts readable without buying seats.

#The challenge

Salesforce and the sales-engagement platform showed different activity data, so reps had stopped trusting either one. Outbound had no attribution because the two systems did not talk to each other, and cadences had sprawled over years into inconsistent steps and per-cadence exit rules nobody owned. Leadership decided to consolidate onto Gong integrated with Salesforce, which meant every existing cadence and the entire recording-consent model had to move without disrupting live outbound.

#The approach

Cadence migration, one to one

Rebuilt all 22 cadences in Gong Engage — matching steps, timing, subject lines, threading and copy — and standardised exit rules on the platform's default ruleset instead of carrying over the per-cadence exceptions that had accumulated in the old tool.

Governance so the sprawl does not rebuild itself

Shipped a cadence-governance plan covering naming, ownership and approval for new cadences. A one-to-one migration without governance just relocates the problem to a newer tool.

Consent-compliant conversation-intelligence rollout

Configured recording-consent profiles region by region to match each operating region's requirements, completed the Gong–Salesforce integration, and activated contact creation and activity sync so the CRM and the conversation-intelligence platform reconcile against one activity record.

Pilot to general-availability readiness

Moved the conversation-intelligence pilot to GA readiness with proactive monitoring and a full documentation and FAQ set for reps, so rollout support did not depend on a single admin answering questions.

Transcript access decoupled from seat cost

Built an automation-platform pipeline from the conversation-intelligence tool into shared cloud storage, using a dedicated integration account and a shared credential vault, so approved non-sales users can read raw call transcripts without a paid seat — with retention aligned to the company's existing privacy obligations and legal review in progress.

22 cadences migrated one-to-one

Every cadence was rebuilt in the new platform matched on steps, timing, subjects and copy, with consistent removal rules replacing the old per-cadence exceptions.

Conversation intelligence GA-ready

Recording-consent compliant across every operating region, with contact creation and activity sync approved and rolling out; the pilot reached general-availability readiness inside the window.

One activity data set instead of two

Activity sync and contact creation were approved and rolling out to reconcile the CRM and the conversation-intelligence platform so reps stop choosing between conflicting activity records. This was mid-rollout at the end of the reporting window, not a finished state.

Transcript access without seat cost

A pipeline into shared cloud storage gives approved users raw call transcripts without a paid seat, with retention aligned to the privacy policy already in force.
