# Validating a full contact base, repairing orphaned records, and handing the system back documented

A CRM full of duplicates, orphaned contacts and unvalidated emails was handed back clean and documented at the close of an embedded engagement. LeanScale validated the entire contact base, re-associated companyless contacts, ran manual and same-name dedupe passes, triaged stale open pipeline, and left an enablement guide behind.

## The challenge

The contact database had grown faster than anyone maintained it: unvalidated email addresses, contacts with no company association at all, blank company names, and duplicate clusters on both contacts and companies. With the engagement ending and the work moving in-house, the instance had to be left in a state a small internal team could actually run — clean, deduped, free of automation nobody understood, and documented well enough that nothing depended on institutional memory that was about to walk out.

## The approach

Validate every email, then re-enrich the failures
Ran the full contact base of roughly 16,000 records through an email-validation service — about 90 percent came back valid — and re-enriched the flagged addresses through a ten-provider enrichment waterfall, updating several hundred records rather than simply suppressing them.

Repair orphaned records
Auto-associated roughly 1,000 companyless contacts to companies, creating about 800 new company records and matching the remainder to existing ones, and backfilled blank company names so account-level reporting had something to roll up to.

Two dedupe passes, one manual
Worked a manual merge pass across roughly 1,500 records, then a same-name pass that merged roughly 150 of about 180 duplicate groups — the manual pass deliberately kept a human in the loop for the ambiguous merges.

Triage the pipeline before handing it over
Surfaced roughly 150 overdue open deals with per-owner triage lists so owners could close them out or re-date them before exit, rather than leaving the incoming team a forecast full of stale opportunities.

Retire what nobody uses
Ran a final hygiene audit retiring stale dashboards and workflows, so the inherited system carried no silent automation the internal team would later have to reverse-engineer.

Document the handoff properly
Produced a full offboarding enablement guide with screen-recorded walkthroughs so the in-house team could operate everything independently once the engagement ended.

## Outcomes

Full contact base validated
Roughly 16,000 contacts were validated, with about 90 percent returning valid and flagged addresses re-enriched through a ten-provider waterfall.

Orphaned contacts re-associated
Roughly 1,000 companyless contacts were associated to companies, creating about 800 new company records.

Duplicates merged in two passes
A manual pass covered roughly 1,500 records, and a same-name pass merged roughly 150 of about 180 duplicate groups.

Stale pipeline triaged before exit
Roughly 150 overdue open deals were surfaced with per-owner triage lists so owners could close or re-date them.

Documented, self-serve handoff
The engagement closed with a hygiene audit, retired dashboards and workflows, and an offboarding enablement guide with recorded walkthroughs so the in-house team could run the system without the consultancy.
